Job Description:

To identify, track, manage, and execute key items in the realm of Construction Administration (CA). The role of the Construction Administrator is to ensure specific items are managed to completion, as well as assisting in evolving the policies and processes that will ensure consistent results, increased efficiencies, and ultimately a better product / service. Tasks involve warrantee coordination, FFE scheduling, procurement, risk assessment, general team organization and management, coordination with 3rd parties, and extensive inner-departmental coordination. This position requires both technical and administrative attention to the details undertaken by the Construction Administration Team.Specific Duties and Responsibilities:

  • Oversee execution and communication relating to Subcontracts, Projects and Construction Operations.
  • Manage contract completion for each site location. Collect and audit all documentation received to prepare for owner signature.
  • Prepare returned change orders for owner signature. Retain original contract records and ensure subcontractors receive copy of executed contract.
  • Collect COI for all contracts and audit documents for required limits and additional insureds for specific project. Once obtained, add to contract, file original and ensure Assurance receives copy for file.
  • Collect and retain records for OCIP certificates from Project Specific Insurance for subcontractors that require wrap insurance.
  • Maintain records on all building TCO and CO certifications for specific site project. Ensure original final is kept for O&M and Assurance receives copy.
  • Create O&M file for specific project including subcontractor contact information, project closeout documents (approved submittals, Receipts of Material, C of Os, permits, etc.) Maintain records for job completion.
  • Create Closeout & Warranty Binder for specific project. Compile all warranty documents by division, including manufacturer warranty documents. Ensure binder includes the Alta Survey, all C of O certificates, Structural Final Letters, Certificate of Substantial Completion, The Garrett Companies warranty letter, subcontractor contact list and copied O&M.
  • Support Construction team personnel requests and operations, such as Paid Time Off and travel scheduling.
  • Support Project Manager, Project Engineer and Superintendents administrative tasks ordering drawings for site/office delivery, shipping samples, notices to subcontractors, etc.
  • Assist the Construction Administration Team with specifics tasks related to the CA process.
  • Create postage and mail out project bill payments.
  • Update Committee tracking logs.
  • Track CA involvement throughout the construction process to promote quality control.
  • Research and track vendors and pricing for fitness equipment, grills, pergolas, site signage, landscape furnishings etc.
  • Create and track an evolving list of CA tasks and efficiently work them to completion.
  • Research topics and summarize findings.
  • Identify ways to systemize reoccurring tasks and implement improvements to increase efficiencies.
  • Occasional travel may be required.
  • Be a problem solver. As a member of the CA of The Garrett Companies, we solve problems.
  • All other duties as assigned by The Garrett Companies.
    Desired Skills and Experience:
    • Minimum Associates degree in Finance, Business Administration, Construction or related field, and / or relevant experience in real estate, construction, and development.
    • Advanced computer skills, including MS Office, Bluebeam, project management tracking and scheduling software.
    • Proven ability to manage time effectively and provide innovation when needed.
      • Ability to operate independently.
      • Ability to build consensus, manage details, and anticipate issues.
      • Manage multiple simultaneous projects.
      • Must be consistently detail oriented.
      • Strong organization skills.
      • Ability to recognize personal shortcomings.
      • Excellent written and oral communication skills to effectively disseminate information and convey concepts, ideas and information to all levels of employees and external customers.
      • Professional judgment and discretion that comes from experience in working with customer services, internal teams, and 3rd party consultants.
      • Analytical skills to forecast and identify trends and challenges.
